Anoto penDocuments Pro Now Available with OKI Printing Solutions CX2033 Plus and C610 Products

Anoto Group, the inventor of digital pen and paper technology, and OKI Data Americas, which markets its products under the OKI Printing Solutions brand, today announced that OKI Data Americas will bundle the Anoto penDocuments Pro digital pen product with its C610 and CX2033 MFP Plus products. The Digital Pen Printing Solution delivers an innovative and cost-effective way for businesses to improve workflow and data capture by circumventing processes such as document scanning and emailing. Additionally, the packaged solution captures signatures, an important factor when proof of signature is required.

“By combining OKI Printing Solutions’ award-winning printing technology with the power of the Anoto penDocuments Pro, our partners will be able to deliver a complete digital solution to our customer base, significantly improving workflows, preserving data accuracy and reducing the amount of storage needed when working with tangible copies,” said Doug August, Senior Product Manager, Software and Solutions at OKI Data Americas. “The Digital Pen Printing Solution enables customers to quickly and easily share and manage handwritten documents through bypassing the need to scan or email, helping to increase office efficiency.”

OKI Data Americas has collaborated with the Anoto Group for the past five years qualifying devices to meet the rigorous Anoto standards. The Anoto penDocuments Pro is fully compatible with both the C610 and CX2033 MFP Plus products and works with any Microsoft Office application or PDF. Users simply print the document or form needed for their business, and the bundled solution automatically applies a unique pattern of microdots, called the Anoto dot pattern, to the document as it is produced. Users can then utilize the Anoto digital pen to populate the document as they would with a normal ink pen. The dot pattern enables the digital pen to register and store a user’s handwriting in its memory. When the pen is docked in its USB cradle, the recorded handwriting is downloaded and matched with the image of the original document – instantly creating an exact copy of the handwritten document in PDF format. Whether a simple signature or multiple fields of information are required, the Digital Pen Printing Solution is an improvement to the traditional process of handling hard copy forms and is helping to transition businesses into the next generation of electronic workflow.

NSi AutoStore Gives Large Belgian Law Firm “Competitive Edge”

Rockville, MD, June 17, 2010, Stibbe, a full-service Belgian law firm of over 150 specialists, has implemented a document automation solution from Notable Solutions, Inc. (NSi), a leading developer of distributed content capture and workflow solutions.

AutoStore is a server application which orchestrates the capture and secure delivery of paper and electronic documents into business applications. NSi supports more brands and more models of multifunction devices than any other software developer, including touch screen and control panel support for many older models.

Benefits Expand From One Department to the Entire Firm
Stibbe began using AutoStore to automate document workflow in its finance department. Documents there were captured using a networked document scanner. Within several months, AutoStore had been implemented throughout the firm to more efficiently capture, work with and securely store client documents. Using AutoStore, other departments in the law firm began scanning documents on MFPs too. Whether scanned on networked scanners or MFPs, AutoStore converts all of the firm’s documents to full-text-searchable PDF files and then delivers them to Microsoft SharePoint libraries and Interwoven’s iManage.

Reasons for the Surge in Multifunction Popularity

This year over 1.2 million office multifunction systems will be installed in the United States and the movement continues to grow. These systems provide printing, copying, faxing, and scanning features in one cost-effective device.

The basic logic behind these systems is obvious: it is just practical to combine these similar functions for cost savings and fewer devices to supply. iStock_000001475697Small

However, some of the largest reasons behind the rapid implementation of these systems extend beyond cost savings. Multifunction devices can merge with document management software to allow process automation and deliver bottom line results.

  • Modernized Communication: Multifunction systems email, fax and print together. Scan to email functionality delivers paper documents securely to their recipients as email attachments. Fax routing directs incoming faxes to email addresses.
  • Automated Business Processes: Multifunction systems offer a convenient on-ramp to get paper onto a digital network. New capture software provides the technology for information to be read from scanned documents where it can be routed through a pre-defined workflow.

Ten Congressional Offices Choose NSi AutoStore™ to Capture Constituent Correspondence

Rockville, MD, May 25, 2010, Ten U.S. congressional offices have chosen AutoStore from Notable Solutions, Inc. (NSi), a leading developer of distributed content capture and workflow solutions, to capture correspondence from constituents. AutoStore’s advanced and broad support for MFP capture and integration with Lockheed Martin’s government-oriented Intranet Quorum® (IQ) content management system were key selection criteria.

Offices representing Alabama, California, Florida, Illinois, Mississippi and the state of Washington have purchased AutoStore so far.

AutoStore is a server application which orchestrates the capture and secure delivery of paper and electronic documents into business applications. NSi supports more brands and more models of multifunction devices than any other software developer, including touch screen and control panel support for many older models.

Solution Increases Capture Productivity by 1000 Percent

Each of the nation’s 435 congressional offices receives thousands of individual constituent communications each month. Each office is obligated to catalog and acknowledge receipt of all correspondence.

The AutoStore solution replaced a process that required manual scanning to email, re-saving and renaming each document and manual importation into the Lockheed IQ ECM system. “With AutoStore I can process 10 letters in the time it used to take for one letter,” says the office manager for an Illinois congressman.

Now, the congressman’s staff member logs in to the MFP using the touch screen and scans directly to the IQ system. Users may even search the IQ system for a specific constituent or mail record from the MFP’s control panel and append the correspondence to that individual’s archive.

Digital Student Records Leave More Time for Studies

2010-05-24_211450 Having a high level of national and international recognition, CES University’s academic focus includes medicine, dentistry, biology, veterinary medicine and zoology, as well as law. It also offers postgraduate courses such as clinical medicine and clinical dentistry, including master's degrees and doctorates. Since the second semester of 2008, applicants have been able to enroll via the university's website. The university's main campus is in Medellín, Colombia, where all of its academic services are based. Branch campuses are located in Sabaneta, Envigado, Girardota and in other parts of the country.

Documents
For each student enrollment, the system generates a form. Documents like reports, ICFES certificates (entrance exam, etc), qualifications and so on are attached. These documents then become part of the student's record or résumé. They are stored at the university and are active while the student remains at the institution and become inactive or withdrawn once they have graduated or leave the institution.

Work Process
Before DocuWare was installed, applicants wishing to register and enroll for classes stood in line for hours at the campus Admissions and Registrations office. Two staff members spent an average of six hours a day registering students. With this constraint, new applicants often had disappointingly, long wait times.

The documents submitted by each applicant were stored in physical folders and sent to the assigned staff interviewer as the final step to enrollment. Following the interview, they were stored at the Admissions and Registrations office. As an applicant becomes a student, additional documents were generated and added to their folder increasing the University’s liability due to physical manipulation, alterations, lost documents or unauthorized access. Eventually all documents were sent to the Centro de Administración Documental or document administration center responsible for record keeping.

Solution Requirements
The university was allowing students to enroll via its website but had difficulty managing the different documents since it had no control over their method of capture, quality or size. It needed a solution that would simplify the process, allow for the different document types and could be easily integrated into its website.
