Utilize Access Controls for Reduced Print Costs
Submitted by Webmaster on Tue, 06/29/2010 - 03:05Most multifunction systems today come equipped with advanced access controls. Despite having a large breadth in functions, these controls are actually very easy to use. Plus, by monitoring print usage, you can reduce your costs greatly by supervising usage by department, work group, or even individuals.
Access controls work in conjunction with the security features of your
multifunction to set up PIN codes or card-access for desired users. By requiring every user to log in to the multifunction, you can get a clear report on how the device is being used. You can also set authorizations based on access groups. For example, you may want your Marketing Department to have access to color printing, but feel it would be unnecessary for the Sales Department. With access controls, you can minimize unnecessary color printing and reduce your costs.
Effective print monitoring also allows you to create defaults for certain access groups. You can set print jobs to automatically duplex (two-sided printing) to help save paper. This is a quick and easy solution that will yield instant results.

Anoto penDocuments Pro Now Available with OKI Printing Solutions CX2033 Plus and C610 Products
Anoto Group, the inventor of digital pen and paper technology, and OKI Data Americas, which markets its products under the OKI Printing Solutions brand, today announced that OKI Data Americas will bundle the Anoto penDocuments Pro digital pen product with its C610 and CX2033 MFP Plus products. The Digital Pen Printing Solution delivers an innovative and cost-effective way for businesses to improve workflow and data capture by circumventing processes such as document scanning and emailing. Additionally, the packaged solution captures signatures, an important factor when proof of signature is required.
“By combining OKI Printing Solutions’ award-winning printing technology with the power of the Anoto penDocuments Pro, our partners will be able to deliver a complete digital solution to our customer base, significantly improving workflows, preserving data accuracy and reducing the amount of storage needed when working with tangible copies,” said Doug August, Senior Product Manager, Software and Solutions at OKI Data Americas. “The Digital Pen Printing Solution enables customers to quickly and easily share and manage handwritten documents through bypassing the need to scan or email, helping to increase office efficiency.”
OKI Data Americas has collaborated with the Anoto Group for the past five years qualifying devices to meet the rigorous Anoto standards. The Anoto penDocuments Pro is fully compatible with both the C610 and CX2033 MFP Plus products and works with any Microsoft Office application or PDF. Users simply print the document or form needed for their business, and the bundled solution automatically applies a unique pattern of microdots, called the Anoto dot pattern, to the document as it is produced. Users can then utilize the Anoto digital pen to populate the document as they would with a normal ink pen. The dot pattern enables the digital pen to register and store a user’s handwriting in its memory. When the pen is docked in its USB cradle, the recorded handwriting is downloaded and matched with the image of the original document – instantly creating an exact copy of the handwritten document in PDF format. Whether a simple signature or multiple fields of information are required, the Digital Pen Printing Solution is an improvement to the traditional process of handling hard copy forms and is helping to transition businesses into the next generation of electronic workflow.

Reasons for the Surge in Multifunction Popularity
Submitted by Webmaster on Wed, 06/16/2010 - 03:52This year over 1.2 million office multifunction systems will be installed in the United States and the movement continues to grow. These systems provide printing, copying, faxing, and scanning features in one cost-effective device.
The basic logic behind these systems is obvious: it is just practical to combine these similar functions for cost savings and fewer devices to supply.
However, some of the largest reasons behind the rapid implementation of these systems extend beyond cost savings. Multifunction devices can merge with document management software to allow process automation and deliver bottom line results.
- Modernized Communication: Multifunction systems email, fax and print together. Scan to email functionality delivers paper documents securely to their recipients as email attachments. Fax routing directs incoming faxes to email addresses.
- Automated Business Processes: Multifunction systems offer a convenient on-ramp to get paper onto a digital network. New capture software provides the technology for information to be read from scanned documents where it can be routed through a pre-defined workflow.
